Join Our Team: Manager, Finance


Pencils of Promise (“PoP”) is looking for a detail oriented accountant to be responsible for, and maintain, the accounts payable, receivable and bank reconciliations across the four countries of our organization that has an operating budget of $8 million. More than 80% of the organization’s income is generated through individual, unrestricted funds and the Manager will be responsible for reconciling these high volume transactions. The Manager of Finance will report to the Chief Operating Officer and will be an integral member of the team responsible for maintaining the accuracy of all financials across all platforms, in addition to partnering with the Senior Manager of Data Systems and Administration to ensure data in Quickbooks and Salesforce aligns.

Expected start date: 1 April 2020


  • Review invoices for approvals, correct coding and process all payments each week
  • Maintain the integrity of accounts payable system and files
  • Process all incoming donations on a daily basis
  • Manage the reconciliation of donations between Salesforce and Quickbooks, ensuring data is accurate and fully accounted for on each platform
  • Support the team in ensuring that tax receipts are distributed in a timely manner and filed accordingly 
  • Oversee the monthly reconciliation of each international office and support the Chief Operating Officer in the monthly reconciliation of each of the domestic bank accounts
  • Maintain and update P&L statements, Balance Sheets and Cash Flow statements on a weekly basis
  • Support the annual audit by maintaining and creating schedules as needed and pulling required support paperwork
  • Process incoming donation checks and enter data in all appropriate platforms (i.e., Salesforce and Quickbooks)
  • Oversee employee reimbursement processed through Expensify
  • Maintain office petty cash 
  • Post monthly payroll and international journal entries 
  • Prepare annual IRS reporting including 1099s, 1096 and 1042
  • Manage state charitable filings and registrations
  • Communicate the Finance policies, procedures and initiatives to other departments; helping others understand the importance of financial transparency, accountability and integrity


  • Bachelor’s degree or a minimum of six years of relevant experience in accounting or finance with a strong preference for advanced knowledge in nonprofit accounting practices
  • Strong working knowledge of Quickbooks
  • Familiarity with CRMs, preferably, Salesforce
  • Knowledge of general accounting principles
  • Excellent attention to detail and advanced Excel skills
  • Strong communication and follow-up with deadlines
  • Enjoys working independently and demonstrating initiative
