The Managing Director, Finance and Operations (MD, Finance and Operations) is responsible for advancing the mission of Pencils of Promise (PoP) by ensuring good stewardship of the funds entrusted to the organization and sustaining high-caliber internal operations. The MD, Finance and Operations reports directly to the Chief Executive Officer (CEO) and leads a team of U.S. based staff and consultants. The MD, Finance and Operations will have the opportunity to shape the makeup of this department, leveraging current resources and exploring others. The MD, Finance and Operations will establish independent financial and operational processes for the organization and will lead the finance, operation and HR functions. This person will also serve as a critical partner on global priorities with our in-country teams in Ghana, Guatemala and Laos. They will serve on the Global Leadership Team and will be responsible for providing fiscal and operational recommendations to the CEO.
The ideal MD, Finance and Operations will bring prior experience in nonprofit finance and operational management, the ability to establish metrics and systems, experience with creating complex financial analyses, and an entrepreneurial spirit to support strategic and tactical execution of efforts. Prior experience leading teams and operationalizing processes desired. A high level of cultural humility is essential; prior experience with an international organization would be valuable.
Specific job responsibilities include:
- Lead, manage, expand and develop a team of 2 – 4 direct reports and / or consultants based in the U.S. (Operations Associate, Salesforce consulting group; external financial support firm); support them to reach their individual goals and contribute to your team’s goals with indirect responsibility for operations and finance staff across Ghana, Guatemala, and Laos.
- Function as the senior staff leader for Finance and Operations at PoP; partner with the CEO in establishing a sustainable and strategic growth trajectory for the organization.
- Serve as a collaborative member of the Global Leadership team and work closely with the Board of Directors; set clear expectations for financial operations and reporting.
- Develop productive relationships with both US and global teams to encourage an innovative and customer-centric approach within the finance and operations teams, while fostering staff accountability for implementing best practices.
- Financial oversight
- Lead PoP’s financial strategy; oversee annual budgeting process, review all financial plans and budgets, and monitor progress and changes on a monthly and quarterly basis.
- Oversee the effective management and deployment of the financial and fixed assets of the organization including cash management, reserves, restricted funds, and international bank accounts.
- Ensure business reporting systems, organizational dashboards, and processes effectively track and report financial and other operational performance indicators for CEO, Global Leadership Team, and Board of Directors.
- Oversee effective management of annual financial statement audit, including audit, 990 and individual state charity registrations.
- Working closely with senior leaders and the Board Finance and Audit Committee, align PoP’s annual budgets and long-term financial plans to key strategic organizational priorities.
- Oversee budget execution of unrestricted and restricted funding in compliance with nonprofit best practices and grant requirements; manage cash flow, income statements, and balance sheets.
- Design and manage the organization's procurement processes (Ex. Lead the annual benefits negotiation).
- Operations and HR
- Assess and develop improvements for the candidate and employee journey. (recruitment, hiring and onboarding,performance development and management process, professional development, offboarding, and transitions, etc.)
- Offer oversight for existing human resources operations, including payroll and benefits administration, as well as guidance for key improvement initiatives.
- Ensure PoP is up to date on all issues of non-profit compliance and suggest any changes in policies and procedures based on employee, company or compliance needs.
- Information Technology
- Oversee Information Technology for the US office and all US team members.
- Recommend and make changes or additions to the current suite of tools / programs / database options.
Specific job qualifications include:
- 10+ years of experience in operations, finance and organizational leadership
- Salesforce experience is highly preferred
- Experience with high-level project management
- Ability to manage the expectations of multiple stakeholders

- Quickbooks experience is highly preferred
